Prepare to Collect Partner Data

What is Partner Data?
When your partners lead Lesson 1 with their respective groups of youth, they will generate three sets of data:
- 1) Notecatchers capturing student feedback on current maps
- Reminder: These are included in the lesson plan and were completed by your team during 2.12.
- These will be used to understand what map elements youth like, and what they feel are missing from existing maps.
- 2) “Favorite place” drawings
- These will be used to identify particular places that youth in your community enjoy. You will analyze the data generated from these drawings to determine which places should be included in the map.
- 3) Any photos of student map work / student thinking
- If there are any additional materials generated through students preparing for, working on, or thinking about Lesson Plan 1, this is also helpful data! This could be a whole group chart or notes from a small group discussion.
You will be introducing your partners to these three sets of data during Partner Meeting 1. After Partner Meeting 1, they will each lead Lesson Plan 1 with their youth, and then share the data back to you. Before Partner Meeting 1, you will need to prepare to collect the map data by creating and organizing folders, a spreadsheet and drafting partner emails to send immediately after the meeting.
Prepare to Collect Partner Data Generated from Leading Lesson Plan 1
Create Partner Folders
- On Slide 34 of the Partner Meeting 1 Slide Deck, partners are instructed on how to add their data (photos of the notecatchers, photos of any youth generated work and drawings etc.) to shared folders.
- To prepare to collect this data, we recommend creating a Google Folder that has subfolders with the names of each of your partner organizations, each classroom or sub-group within the organization and then separate folders for the notecatchers, favorite place drawings and any additional student work.
- We have created example folders entitled Example Folder for Partner Data Collection for you to see how we organized our data.
- After Partner Meeting 1, you will share these folder links in an email with your partners so they can add all of their data generated from them leading Lesson Plan 1 with their children and youth groups.
- Follow these steps to share a Google drive folder.
- You will use this data to create the CFC Map, so ensure that all partners are clear on how to submit and share data, and that you have an organized system. You may need to support partners throughout the process.
Create Data Entry Spreadsheet
- After the data is collected, it will be coded, which means it will be analyzed to see what common themes exist, which places are repeated, and how to make sense of the information to create a map. All of the data entered into the folders above will be coded and entered into the CFC Map Engagement Data Spreadsheet Template. We have provided detailed instructions on this sheet for how to analyze the data, which you will explore more deeply in Stage 3.
- IMPORTANT: Before holding Partner Meeting 1, you should decide if you want your partners to enter their own data into each Worksheet (Option 1: Partners Enter Data), or if you have interns or time available to enter the data yourself (Option 2: You Enter Data). We have listed the pros/cons of both options below.

Preparation for Option 1: Partners Enter Data

- NOTE: Because it will require more instructions for your partners, we have formatted all of the materials we have provided as if you have chosen Option 1: Partners Enter Data.
- On Slide 34 of the Partner Meeting 1 Slide Deck, partners are instructed on how to add their data (photos of the notecatchers, photos of any youth generated work and drawings etc.) to their corresponding worksheet in: CFC Map Engagement Data Spreadsheet Template.
- In order to prepare to have the partners enter data, we recommend creating a Worksheet within the CFC Map Engagement Data Spreadsheet Template for EACH of your partner classrooms to match the folders you created in the last step.
- For example, we have named our example worksheet: Preschool 1
- Make a copy of Preschool 1, then rename it to match each of your classrooms/partner groups and the folders you created.
Preparation for Option 2: You Enter Data

- All of the data generated by each partner will be entered on one worksheet in CFC Map Engagement Data Spreadsheet Template.
- Using the example worksheet, Preschool 1, you can enter all data into this singular sheet. You may want to prepare ahead of time by creating a drop down menu in Column H that has a list of ALL of your partner groups (such as Preschool 1 - Classroom 1) so that you can use this dropdown menu when you enter data.
- We recommend re-naming Preschool 1 - Classroom 1 to Raw Data, Unsorted.
Create Follow Up Email to Send After Partner Meeting 1
- After meeting with your partners, it is VERY important to send a follow up email with information on how they can submit the student data generated after they lead Lesson Plan 1.
- In this email, we recommend that you include the following:
- A copy of Partner Meeting 1 Slide Deck
- Lesson Plan 1
- A link to the Caregiver Survey
- A link to the Google Folder you have created to collect student Data from Lesson Plan 1 for EACH PARTNER
- A reminder of how to submit student data (photos of the notecatchers and any other youth generated materials like drawings).
- NOTE: This is one of the MOST IMPORTANT things you will send to your partners because it captures youth ideas generated through Lesson Plan 1. The materials your partners share will directly inform the CFC Map and give designers data to create the map.
